Rochester Reservations

Please note our Business hours are 7:00am-7:00pm; reservations are considered to start upon the start of business for the reservation Check In date. Parents are financially responsible for full reservation payment, without proper cancellation & modification notice. Please note all voicemail and e-mail cancellation notices must also be submitted within the same time frame as the policies below. All reservations/modifications sent in after business hours, will be considered sent in the next day.

Holidays

  • We offer Day Camp every day except for 7 major holidays. Major holidays are: New Year's Day, Easter, Memorial Day, July 4th, Labor Day, Thanksgiving & Christmas Day.
  • On major holidays New Year’s Day, Easter, Memorial Day, July 4th, Thanksgiving Day & Christmas Day we are open split hours: 7:00-10:00 am & 4:00- 7:00 pm. We are closed in the middle of the day to allow our staff to spend time with family & friends.
  • All dogs pay full price during holiday & summer-weekend rate seasonal pricing time frames.

BOARDING INFORMATION & POLICIES

  • Reservations are required for overnight Camping. Vaccinations must be updated by you, via the app, prior to booking your request. Request reservations on-line via the website https://campbowwow.com/rochester or the App. You will receive an email of receipt of deposit payment. 
    • We recommend you add our email address to your “safe senders” to ensure these emails do not go into your junk/spam folder.
    • We do have automatic e-mail vaccination & reservation reminders, but we are not responsible for making sure your system receives them or that you read them.
  • A single night deposit is required for all boarding reservations. A two-night deposit is required for all holiday boarding reservations. 
    • We will charge the last card used unless instructed otherwise. If you wish to use another card or have not used a card at Camp recently, please call Camp at 585-613-9247.
    • Deposits are non-refundable.
    • Holiday Boarding date adjustments & cancellations are required 14 days prior to check in start date. Failure to make your date adjustments or cancellations in this time frame will result in you being financially responsible for the entire stay as booked. We will charge the last card used unless instructed otherwise.
    • Non-Holiday Boarding date adjustments & cancellations are required 48 hours prior to check in start date. Failure to make your date adjustments or cancellations in this time frame will result in the forfeit of your deposit.
  • We encourage people to make boarding reservations via the website or app as far in advance as possible. Please do not call for boarding reservations unless you need to provide updated credit card information.
    • Automatic email receipts will be sent through the app/website. Requests are typically responded to within 24 hours. We will call people on the wait list when we have cancellations.
  • Safety & Camper happiness are our first priority & we know owners share these values. Most Campers are a LOT more comfortable if they are in Camp play yards at least twice before spending the night. We require the free interview day & two additional half or full days before an Overnight Camp visit. Owners may use their discounted visits from the 1st Day Special. We promise your Camper will be happier & less stressed once they acclimate to Camp & you will be more at ease knowing they are more comfortable. 
    • If your dog has not been to Camp in over 6 months, the dog will need another full or ½ day of day care visit so we can be sure they will be comfortable & enjoy their overnight stay with us.
  • You must have a local Emergency contact for each visit. See Emergency/ICE Contact policy.
  • Check In paperwork is required at each visit to eliminate the room for error with your specific contacts and requests. We email this in advance, for convenience. 
  • All boarders must be dropped off at least 3 hours before close. We want to give Campers some time to play & get their cabins & meals all set up for a great first night of their vacation! 
    • If you are dropping off at 4:00pm, ensure dinner has been fed prior to drop off
  • Please bring ONLY the amount of food needed for your Camper’s stay. We do not have space to keep large bags or food bins & must ask owners to take excess food &/or bins with them. We do appreciate owners that pre-bag each meal.
  • Bedding must fit on a 3.5 by 2.5 foot cot. Cots are provided for each Camper & House fleece blankets are free if requested; if chewed or damaged, there is a $25 fee. Owners will be required to take larger bedding with them if brought to Camp; we have no place to store it.
  • The Holiday 2-night minimum & rates apply; All dogs pay full price during holiday & summer-weekend rate seasonal pricing time frames.
    • Easter weekend (Friday - Sunday nights)
    • Memorial Day weekend (Fri., Sat., Sun. & Mon. nights)
    • July 2-5
    • Thanksgiving (the night before Thanksgiving through the following Sunday morning)
    • Christmas dates 12/22-26
    • New Year’s dates 12/29-01/01

      • Check out on these major Holidays is required by 10:00am. If you need a later check out, you will need to book another night.
    • The Holiday/summer-weekend rate (additional $5/night/dog) applies Friday & Saturday nights starting the Friday before Memorial Day & ending on Labor Day. All dogs pay full price during holiday & summer-weekend rate seasonal pricing time frames.
  • Those of us that have multiple dogs agree, most Campers that live together are happiest when they share Cabins to rest. However, sharing a Cabin is different than sharing a home. All owners of multiple dogs that want the dogs to share a cabin will need to sign a form acknowledging the information below.
  • We will not allow Cabin sharing if: 
    - There is any type of hostility between the dogs. This includes mealtime tension. 
    - The dogs do not continuously reside at the same address.
  • Some Campers eat different foods. When Campers eat in the same Cabin, we put the dogs in the Cabin & set correct food bowl in front of each. This is fine for many, but if the dogs have different diets they may switch bowls. Sudden changes in diet can attribute to bloat & loose stools. If you think the dogs will switch bowls, we suggest: 
    - A Meal Companion (we will offer a reduced rate of $5/meal for this situation) to be with them for meals or 
    - Separate Cabins for eating (the multiple dog boarding discount will not apply). 
    Please note: We do NOT put meds in the bowls & assume the right dog gets the meds.
  • Some dogs eat at different rates. Sometimes we see one dog eat fast then go for the other’s bowl. This is a concern for us because overconsumption may lead to bloat (a VERY serious & life threatening condition) & loose stools & under-consumption isn’t good for the other dog.
  • Sudden changes in a dog’s food usually cause loose stools – dogs don’t complain, but this may be uncomfortable. Since we want dogs to feel good & have fun, we charge $2 per night for house meals.
  • We will do all we can to keep your dog safe & happy – please let us know if any special requests. 
  • If you would like photos of your Camper, please take advantage of our 1 on 1 enrichment services which guarantee photos texted home.

Things to bring:

  • We do not accept rawhide, glass containers, bowls or measuring cups from home. If any item provided becomes unsafe during the visit, it will be removed.
  • Dog Food. See above. We measure each meal.
  • Medications. Please bring meds in original bottles. We do not charge for dispensing meds. Do not place medication in meals.
  • We have free cots & fleece blankets, but you may bring a small dog bed (<2.5 by 3.5 foot), blanket or towel if you like. Please ensure that beds have no rips or tears in them, to allow laundering as needed, in a standard washer/dryer.
  • Toys & bones are accepted as long as they are greater than 2 inch in diameter.
  • Owners are required to provide a quick release collar & a nametag. We have collars & tags for sale at reasonable prices for customer convenience.

DAY CAMP INFORMATION & POLICIES

  • Reservations & Cancellations: Please see reservation policy. Cancellations are required 48 hours in advance of reservation Check In date as we have reserved a space for your Camper. Without proper notice, the reservation will be forfeited from Day Camp package, or charged to the credit card on file. 
  • Please make sure your Camper(s) wear quick release (pinch to open) collars & name tags to Camp. We have very good quality, reasonably priced quick release collars for sale in the lobby. If your Camper checks in without the Camp approved collar, we will charge a collar & name tag to your account. 
  • A high level of activity may increase the probability of bloat. For the safety of your Camper, we do not serve lunches to dogs over 6 months old unless there is a medical reason to do so.
  • Safety is our top priority. If a dog is exhibiting an unwanted behavior that is drawing the attention of our Counselors away from the rest of the group, we use our “PAWS” process to aid. Rest breaks & length of time are always subject to change based on the needs of our staff & operations for the day. Our “PAWS” process = 1 break for unwanted behavior is around 15 mins, the 2nd break is around 30 mins & upon the 3rd break we will call home to discuss further. There may be times you will need pick your dog up early. In the event you are unable to do so, you must have an emergency contact that can act in your place.
  • All Campers must be on a topical or monthly oral flea/tick preventative. Flea collars are not allowed because (1) dogs mouth other dogs collars & we don't want dogs ingesting anything from a flea collar & (2) they cannot be released quickly if a dog gets caught in another's flea collar. If dogs come with flea collars we will put them with leashes until pick up time.
  • If you would like photos of your Camper, please take advantage of our 1 on 1 enrichment services which guarantee photos texted home.

Packages

  • Packages are non-refundable. Packages cannot be transferred to another CBW location or other Customers.
  • Packages expire one year from purchase date any days not used will be forfeited.

Reservation Policy:

  • Reservations are required at least 48 hours in advance for all services & up to date vaccinations are required for Bordetella, Rabies, Distemper & Canine Influenza. 
  • We no longer take reservations over the phone or in person, due to room for error. If you are looking for last minute accommodation, the day of – call Camp to verify if we have space.

Grooming Policy:

  • All grooming must be orchestrated during Day or Overnight Camp reservations. At this time, we do not offer fur or hair trimming services. If a dog is uncomfortable with a service for any reason, we will not proceed. Please note we do not muzzle or restrain for grooming.

Vaccination Policy:

  • You are responsible for updating your dog’s vaccination records through the app. We do have automatic e-mail vaccination & reservation reminders, but we are not responsible for making sure your system receives them or that you read them.
  • We cannot approve reservations without updated vaccinations. All Campers must be up to date on the following vaccinations:
    • Bordetella (Canine Cough), Rabies, Distemper & Canine Influenza. **Please note: New Customers will have 90 days after their dog’s passing interview to get their Camper up to date on the Canine Influenza.
    • In addition to these vaccinations, spay/neuter is required at 7 months of age to attend Camp Bow Wow.
    • Dogs must be 16 weeks & up to date on all rounds of their vaccination boosters to attend Camp Bow Wow.
    • If it is a dog’s first time receiving the Bordetella (Canine Cough) vaccination, we require 14 days after the initial vaccine before the dog can attend Camp Bow Wow.

Emergency Contacts/ICE Contacts Policy:

  • For all Overnight Camp visits, we require a local emergency contact on record. We understand that this may change stay to stay, for this reason we require you to complete Check In paperwork that lists the ICE Contact that will be used each visit. 
    • Please ensure your ICE contact is LOCAL & is able to take responsibility for the care of your Camper, in any & all emergent situations, such as, but not restricted to; picking Camper up from Camp, taking Camper to the vet & providing accommodations, in the event the Camper can no longer stay at Camp. 
    • It is our policy, that a dog with a suspected contagious illness, in need of veterinary care, or having behavioral issues that risk another Camper or our staff, must be picked up by your ICE. These events are rare but can occur & we will contact you to work on any issues we face, in partnership.
  • Please be aware that Rochester’s Emergency Animal Hospital is no longer available 24/7, they have been turning away emergency services even during the daytime hours, & they have been directing people to drive to Buffalo or Cornell. It is critically important that you have a local emergency contact that is not traveling with you that we can work with during an emergency. 
  • Your emergency contact must be someone that is willing & capable of picking up your dog in an emergency or for any reason your dog cannot be at Camp. 
    • In the event we are not able to get ahold of you or an emergency contact, we will not be able to travel outside 5 miles from Camp to seek services unless it is under the direst of circumstances.
    • Any situation that appears non-life threatening will have to wait until a veterinary appointment in Rochester becomes available. 
    • We highly recommend that you speak to your personal veterinarian & discuss an emergency plan with them while you are away. If we must seek emergency services, you will be responsible for all fees in addition to the cost of the veterinary care & you will be responsible for arranging payment with the provider. Costs will include staff pay at double-time rates, mileage, worker’s compensation claims & any fees or costs that are incurred while seeking treatment.

Payment Policy:

  • We accept Cash, Check, Visa, Master Card, American Express, Discover & Apple Pay. 
  • A charge of $25 applies to any returned checks. Payment is due at time of service. 
  • A 10% fee will be added to unpaid balances after that date of check out & an additional 10% will be added every 30 days thereafter.
  • Payment can be taken in person, or over the phone with the option to store your credit card on file. To book boarding visits, you must have a credit card stored on file.

Refund Policy:

  • We offer no refunds on any service, packages, retail items, or deposit. Any package purchased expires 12 months from purchase date.

Right to Refuse Service:

  • We reserve the right to refuse service for any & all reasons. In particular, we cannot accept Campers that we suspect or are known to have contagious illnesses for the safety of all our Campers.
